Production Management Proposal
The Trees is an eco-homo-erotic musical ripe for our time. Created by Kristy Lin Billuni, Larry D. Lariosa, and Tony Howard, The Trees "invite the audience to interrogate two progressive heroes and reimagine this American folklore as a queer fantasia that heals us and our planet." This production management proposal outlines the services I can offer to help bring The Trees to life for a full staged production in March 2025.

The services outlined below offer a range of activities that I can manage to free your time to focus on the creative work itself. These services can be scaled up or down and will be billed at an hourly rate, allowing maximum flexibility for the project. The hourly estimates are my estimates for the amount of time and attention each area of the project needs to be successful. I'm happy to discuss any of the components in more detail and provide a detailed hourly breakdown upon request.

JRG Management

Project Management and Production Logistics
I will project manage the production from start to finish, managing timelines, deadlines, and coordinating with all creatives and staff. As the production approaches, I will manage logistics including casting, rehearsals, and tech week. I will provide (fun and concise!) written status updates to your team and will meet with you on a regular cadence.
Estimate: 125 hours

Fundraising
I will help you write a fundraising plan, develop your fundraising asks, and draft email newsletters for you to send to your donors. I will help you segment your donors and provide donor stewardship services as folks join The Trees family. I will also help you plan house parties and other fundraising events such as an opening or closing reception. Because who doesn't love a good party?

Budget Development and Oversight
I will help you develop the budget and will provide budget oversight and reporting throughout the project. I bring a "yes, if" approach to budgeting conversations, meaning I will work with you to achieve your vision in the most authentic way possible. I will research and price out any aspects of the budget. No ask is too far out there -- not even research on how to bring live cows to a dance show in Brooklyn (I did this!).

Ticketing and Box Office Management
I will set up and manage your ticketing site if separate from the venue. I will help you develop a beautiful pricing model that fits your show. I will manage comp tickets for VIPs and discount codes for friends and family. If desired, I will run the box office at the venue. (Note: if I need to hire additional staff for box office it will increase the cost.)

Venue Scouting, Contracting, and Coordination
I will create a short list of venues that fits your musical's goals and needs. As a Bay Area local, I am happy to bop around the bay with you to check out venues in person. I will help you negotiate a contract for the space rental, saving you money for the production. As the production approaches, I will serve as the main point of contact with the venue.

Cheerleading
Throughout the project, I will be your ultimate cheerleader! I am always happy to hop on the phone for a pep talk or grab coffee and chat. I am happy to provide the emotional support you need to be successful. All of this time is complementary.

Production Management Services

Phase 01
Planning, Budgeting, Fundraising, and Venue Sourcing: July - December 2024
Average of 18 Hours/Month
The first phase of the project will include the activities needed to set your project up for succcess and solidify the core fundamentals for the production. We'll develop your budget, create a detailed project timeline, set regular check in meetings, fundraise for the show, source the venue, and prepare for production ramp up in Phase 02.
Phase 02
Production Ramp Up: January - February 2025
Average of 35 Hours/Month
The second phase of the project will include managing logistics for casting, rehearsals, tech week, and box office/ticketing. I will liaise with the venue on your behalf, freeing up your time to focus on the musical itself. If you choose to add on marketing and communications support, this will launch during Phase 02 as well.
Phase 03
Showtime and Post-show evaluation: March - April 2025
Show Month: 50 Hours, Wrap Up: 12 Hours
It's showtime! The third phase will be tying up all of the loose ends and managing all of those last minute details so that your show can go off without a hitch. If desired, I will run the box office (unless handled directly by the theater) and/or a VIP donor reception during opening or closing nights. After your musical's run, I will write up a summary of lessons learned from the production management perspective and also meet with you to document and memorialize other learnings from the show.

Messaging
A messenger is only as strong as the message delivered – all tailored to your target audiences. Together, we’ll develop foundational messaging that tells not only the story behind your show, but so too answers “why this matters.” And, by mapping your audiences, we’ll adapt the messaging to reach the audiences with your future in their hands.

From soup to nuts: we’ll develop your news pitches and lead on outreaching to reporters across mainstream (i.e. SF Chronicle) and niche (i.e. theater publications) outlets. And we’ll coach you ahead of any interviews, arming you with media tips and tricks plus talking points adapted from your foundational messaging.
